Veterans Affairs Certifying Official/Records Specialist

Job Summary


The VA School Certifying Official/Records Specialist has primary responsibilities in the Veterans Affairs (VA) and Records area and serves as the point of contact for all students receiving VA benefits, including certification to regional VA office; and preparation of complex, technical and/or confidential reports. This is a professional, full-time, 12-month position that reports to the Registrar.


A skills assessment test (typing/data entry, MS Word, spelling, and grammar) will be administered as part of the interview.


Duties and Responsibilities


  • Supervises and manages operation of the VA program to conform to strictly audited policy of federal agency
  • Assists and provides support in the operation of the Registrar's Office
  • Maintains accurate and up-to-date information on the VA processing website (VA ONCE)
  • Provides counseling to prospective VA students regarding all areas of Admissions and Enrollment Services (admissions, registration, residency, financial aid etc.)
  • Maintains files that meet federal auditing guidelines (electronic and manual) for students receiving VA educational benefits
  • Performs (daily) research and review of adds, drops, and withdrawals of VA students
  • Works closely with the Business Office to ensure that payments are received for students receiving benefits
  • Prepares VA forms and electronic submission of certifications on a timely basis
  • Provides constant communication to VA students regarding important dates and policy updates
  • Maintains communication with State Approving Agency and VA Regional Office
  • Assists students with degree programs and transfer evaluations
  • Oversees the military lounge and computer lab for veterans or dependent students.
  • Responsible for posting positions and hiring VA work study students. Manages student workers by creating work schedules, renewing work study contracts and submitting timesheets to the VA work study regional office.
  • Suggests procedural changes
  • Performs other duties as assigned

Qualifications

Minimum:

  • Bachelor's Degree preferred but not required
  • Three (3) years of related work experience
  • Five (5) years of experience working in a customer relations area
  • Excellent oral and written communication skills
  • Excellent clerical skills (40wpm required)
  • Proficient in Microsoft Office Suite products
  • Keen awareness of confidentiality requirements

Knowledge, Skills, and Abilities (KSA's):

  • Considerable knowledge of the principles and practices of office management and the operation of standard office equipment
  • Some knowledge of research methods and techniques or report preparation
  • Ability to establish and maintain effective working relationships with students, parents, administrators, faculty members, government officials, and general public
  • Ability to display high standards of ethics, honesty, and integrity in all personal and professions matters
  • Ability to orient and train others and to explain organizations policies, guidelines, and procedures

Preferred:

  • Military experience
  • Experience working in a college/university environment
  • Experience with Banner Student Information System
  • Familiarity of FVSU and University System of Georgia policies and procedures pertaining to area of expertise

Working conditions

  • Travel required -Required to attend conferences, meetings, trainings, etc. off campus
  • May be required to work beyond regular work hours (evenings and weekends) as defined by the needs of the department.
  • Work is performed in a climate-controlled environment

Physical Requirements

  • Perform repetitive tasks, standing and sitting for extended periods of time
  • Lift and carry up to 20 pounds
