FORT VALLEY STATE UNIVERSITY (FVSU), a state and land-grant institution of the University System of Georgia, invites applications for the position of Transfer Coordinator.

JOB SUMMARY:
The Transfer Coordinator is responsible for the comprehensive evaluation, articulation, and posting of transfer credit for undergraduate and graduate students at Fort Valley State University. This position ensures accurate assessment of external coursework and supports transfer, readmission and transient student enrollment processes. The position supports institutional compliance with University System of Georgia (USG) Board of Regents policies regarding transfer admission, articulation, and academic records management.
The coordinator maintains transfer articulation rules and collaborates with academic departments to determine course equivalencies and degree applicability. This role also provides guidance to students, faculty, advisors and staff regarding institutional transfer policies and procedures. The Transfer Coordinator plays a key role in ensuring the integrity of academic records and supporting successful onboarding and degree progression of transfer and transient students.
ESSENTIAL DUTIES/RESPONSIBILITIES:
- Evaluate and articulate transfer credit for newly admitted readmitted, currently enrolled, and transient students in accordance with institutional policies and articulation agreements.
- Interpret and assess transcripts from regionally accredited colleges and universities, military training programs, international institutions, and other recognized educational providers.
- Collaborate with academic departments to determine course equivalencies, general education fulfillment, and major or degree applicability.
- Post approved transfer credit to student academic records in the student information system and Degree Works.
- Maintain transfer articulation catalogs, course equivalency tables and related records within the student information system to ensure accurate transfer credit evaluation.
- Ensure transfer credit rules and equivalencies are updated to reflect curriculum changes and articulation agreements.
- Generate reports related to transfer credit evaluation and assist with institutional reporting requests.
- Communicate transfer credit decisions and policies to students, advisors, faculty and relevant administrative offices.
- Provide guidance regarding transfer credit policies, articulation processes and degree applicability.
- Support orientation, advising periods and enrollment cycle for re-admits, transfer and transient students cycles.
- Process and maintain student change-of-major request in the student information system to ensure requirements are updated properly in Degree Works.
- Process outgoing transient permission request in accordance with institutional policies.
- Evaluate and record nontraditional and alternative credit sources including Advanced Placement (AP), College Level Examination (CLEP), Internation Baccalaureate (IB) Military Credit (JST/Dantes/DD214) and other approved examinations or programs.
- Investigate and resolve transfer credit discrepancies, appeals and inquiries in collaboration with the Associate Registrar, Registrar and academic departments.
- Ensure compliance with university policies, Board of Regents regulations and accreditation standards related to transfer credit.
- Maintain confidentiality and integrity of student academic records in accordance with FERPA guidelines.
- Research and resolve transfer credit discrepancies, appeals or inquiries in collaboration with the Associate registrar or Registrar.
- Manage and review forms submitted through Dynamic Forms or similar systems to ensure accuracy and timely processing.
- Participates in process improvement initiatives within the Registrar's Office.
- Provide support for registration, graduation processing and other peak operational periods.
- Perform other duties as assigned by the Associate Registrar or Registrar.
MINIMUM QUALIFICATIONS
- Master's degree from an accredited institution
- Three (3) to (5) years of professional experience in higher education, preferably in transfer evaluation, academic advising, admissions or registrar services
PREFERRED QUALIFICATIONS
- Experience with Banner, Degree Works, or similar student information systems.
- Experience working in a Registrar's Office or academic records environment
- Knowledge of University System of Georgia and Fort Valley State University's transfer policies and articulation practices including transfer credit evaluation policies, articulation processes and accreditation standards
- Strong analytical, organization and communication skills
KNOWLEDGE REQUIRED BY THE POSITION
- Knowledge of academic policies and registrar operations
- Analytical and problem-soling skills related to transcript and curriculum evaluation
- Strong attention to detail and data integrity
- Effective written and verbal communication
- Ability to interpret and apply institutional and Board of Regents policies
