FORT VALLEY STATE UNIVERSITY (FVSU), a state and land-grant institution of the University System of Georgia, invites applications for the position of Secretary.

Fort Valley State University, the only 1890 land-grant university in Georgia, is a comprehensive institution that provides an education to over 2,800 students including graduate students. The university is located in the town of Fort Valley in Peach County, the original site of the state's peach industry. Its 1,365-acre (5.52 km2) campus is Georgia's second-largest public university in area.

JOB SUMMARY:

Responsible for providing secretarial support to the early childhood program. Assist the program in clerical related duties, scheduling appointments, assisting callers and visitors, data entry, and bookkeeping.


ESSENTIAL DUTIES/RESPONSIBILITIES:


  • Perform clerical and business-related duties - reserve rooms, submit work orders, copying, filing, set up for meetings, and maintain up to date records.
  • Answer phones, assist callers with questions and provide information or route calls to appropriate individuals.
  • Maintain files related to the center.
  • Compose, type, maintain and distribute routine correspondence, handbooks, etc.
  • Maintain and distribute forms.
  • Create reports and spreadsheets of information.
  • Contact parents as needed.
  • Greet and assist visitors and walk-ins.
  • Schedule and confirm appointments for staff members.
  • Maintain disciplinary tracking systems and files in accordance with regulations.
  • Coordinate and monitor safety procedures for the purpose of ensuring safety of students and staff.
  • Coordinate meetings and events.
  • Support students in labs with syllabus and volunteer hours.
  • Support families with sign in and out processes

MINIMUM QUALIFICATIONS:

  • High School Diploma or GED plus post-secondary courses equivalent to one (1) year of college in secretarial and bookkeeping, or equivalent combinations of education and experience.
  • Minimum of two (2) years of experience in clerical work.
  • Operating knowledge of Microsoft Office or other similar software programs.
  • Experience in early childcare setting is preferred.

WORKING CONDITIONS:

  • Climate-controlled working environment.
  • Must be punctual and able to work Monday-Friday from 8:00 a.m. to 5:00 p.m.
  • Must be able to work indoors as well as transition the classroom to outdoors.
  • Possible exposure to communicable diseases.
  • Possible exposure to blood and bodily fluids or tissues.
  • Job requires sitting for long period of time (during planning and reporting) and standing for long periods of time (during observations and training), as well as stooping, squatting, and running.
  • Availability to attend programmatic trainings, meetings, and seek out staff development opportunities.

The employee must be able to occasionally lift 20 pounds overhead and 40 pounds from waist to shoulder. Specific vision abilities required by this job include close vision, distant visions, color vision, peripheral vision, depth perception, and the ability to adjust focus. The noise level in the work environment is usually low to moderate.
