Post-Awards Coordinator
JOB SUMMARY
This position coordinates post-awards activities for the Office of Sponsored Programs.
MAJOR DUTIES
- Answers grant and sub-award inquiries.
- Reviews and approves requisitions, travel expense reports, cash advances, travel authorizations, and p-card statements.
- Completes, reviews, and approves grant budget amendments.
- Reviews and approves Personnel Action Notices.
- Reviews and approves other grant documents and reports.
- Gives guidance on cost allowability.
- Reviews, re-negotiates, and secures AOR signatures for new grant awards, agreements, and sub-awards.
- Creates sub-awards and sub-award modifications for newly funded grants.
- Requests change of Principle Investigators (PI).
- Reviews and approves cost transfers initiated by PI.
- Secures prior re-budgeting approvals from sponsors and funders.
- Notes restrictions placed by the sponsor on the expenditure of funds.
- Coordinates, collects, and reviews time and effort reporting.
- Requests no-cost extensions for grants.
- Assists with the planning of conferences and programs.
- Assists PIs with close-out reporting.
- Participates in the final posting of costs.
- Requests account set-up and the assignment of new grant numbers.
- Performs related duties.
KNOWLEDGE REQUIRED BY THE POSITION
- Knowledge of federal and non-federal grant requirements.
- Knowledge of funding sources.
- Knowledge of internal control procedures.
- Knowledge of generally accepted accounting principles.
- Knowledge of university and Board of Regents policies and procedures.
- Skill in the operation of computers and job related software programs.
- Skill in decision making and problem solving.
- Skill in interpersonal relations and in dealing with the public.
- Skill in oral and written communication.
SUPERVISORY CONTROLS
The Director of Sponsored Programs assigns work in terms of very general instructions. The supervisor spot-checks completed work for compliance with procedures and the nature and propriety of the final results.
GUIDELINES
Guidelines include Office of Management and Budget Uniform Guidance for all federal agencies, State of Georgia business practices manuals, Title III policies and procedures, and university and Board of Regents policies and procedures. These guidelines require judgment, selection and interpretation in application.
COMPLEXITY/SCOPE OF WORK
- The work consists of varied duties in support of office post-award activities. Strict guidelines contribute to the complexity of the position.
- The purpose of this position is to coordinate post-awards activities. Success in this position contributes to the successful management of grants and awards.
CONTACTS
- Contacts are typically with co-workers, other university employees, representatives of granting agencies, and representatives of the Board of Regents.
- Contacts are typically to provide services, to give or exchange information, or to resolve problems.
PHYSICAL DEMANDS/ WORK ENVIRONMENT
- The work is typically performed while sitting at a desk or table.
- The work is typically performed in an office.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY
None.
MINIMUM QUALIFICATIONS
- Baccalaureate degree in a course of study related to the occupational field required.
- More than two years of related experience required.
