Office Manager

JOB SUMMARY:

The Office Manager provides administrative and clerical support to the Executive Director of the Student Engagement & Achievement (SEA) Center. This position will support various main office functions including preparing correspondence, answering phones, monitoring office inventory, ordering supplies, maintaining calendars, and various other assignments as needed.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Answering inquires and interpretations of routine policies, rules, and regulations.
  • Provides information on procedural matters to others.
  • May coordinate workload and arrange priorities with student workers.
  • Performs responsible public relations duties through contacts and associations with visitors, officials, the general public, and in general acts in a liaison capacity for the Executive Director
  • Makes arrangements for conferences, which includes assisting in preparing the agenda, gathering and compiling data, and contacting participants.
  • Coordinates and makes arrangements for special events.
  • Maintains complex fiscal, administrative, and academic records.
  • Monitors budget(s) and reviews expenditures to assure compliance within budget guidelines.
  • Revises filing system and reviews various reports and forms for accuracy and completeness.
  • Maintains complex physical files and computerized database files of an administrative, fiscal, and academic nature.
  • Prepares agenda and compiles data for meetings, gathers information for and prepares reports, questionnaires, and other documents.
  • Collaborates with other administrators and support personnel, management, and clients on a regular basis.
  • Assist team with student registration in the SIS system.

  • Skill in decision-making in addressing the best way to handle specific tasks daily.
  • Skill in the operation of computers and job-related software programs.
  • Skills in interpersonal relations and in dealing with the public.
  • Skills in oral and written communication.

GUIDELINES:

Guidelines include the Family Educational Rights and Privacy Act, the Rehabilitation Act of 1973, Title III guidelines, and university and Board of Regents policies and procedures. These guidelines require judgement, selection and interpretation in application. This position develops department guidelines.


SUPERVISORY AND MANAGEMENT RESPONSIBILITY:

This position supervises the Student Workers assigned to the Student Engagement & Achievement (SEA) Center.

MINIMUM QUALIFICATIONS:

An Associate's degree and three years of administrative experience. Must possess strong organizational, communication, and customer service skills.
