Clerical Assistant
Job Summary and Responsibilities:
Perform a wide range of clerical and program support activities for the chair of Counseling in the College of Education and Professional Studies. The position will provide clerical support to ensure efficient operation of the office functions including scheduling and coordinating meetings, appointments, and travel arrangements, answering phones, monitoring office inventory and supplies, managing accounts, and interacting positively with internal and external constituents.
- Provides ae support to ensure efficient operation of office.
- Carries out general clerical duties such as filing, typing, copying, binding, and scanning.
- Serves as primary contact for answering telephone and greeting visitors; provides appropriate information and assistance; takes messages and refers to appropriate personnel.
- Exhibits polite and professional communication via phone, email, and face-to-face.
- Provides routine administrative support for outcome-based assessment process (accreditation)
- Works closely with the department chair.
- Provides support to faculty to ensure the development and implementation of program content to meet accreditation standards.
- Oversees the collection and accuracy of all critical documentation and preparation of specialized reports that supports compliance with accreditation requirements.
- Organizes all department accreditation site visits.
- Attends all department and related meetings and events including monthly meetings, student events, and recruitment activities.
- Organizes department meetings- schedules meetings, reserves facility space, prepares agendas, and takes minutes and provides written minutes.
- Assists in the coordination of program and department events such as facility use requests, catering orders, event set up, invitations, programs, etc.
- Updates all manuals and the graduate student handbook.
- Assists with student registration and course scheduling.
- Work with Admissions Coordinator in assisting potential students with the admissions process.
- Assists students and potential students in finding appropriate contacts and resources at the university.
- Maintains office supplies and equipment including inventory, distribution, and requisitions.
- Other duties as assigned.
Qualifications:
Minimum:
- High school diploma or GED and three (3) years administrative experience; or a combination of education and related experience.
- Bachelor's degree preferred or equivalent education and experience.
- Minimum of three years of office administrative/management experience.
- Experience working in a team environment with a demonstrated ability to achieve deliverables with minimal supervision.
- Experience in an academic setting.
- Willingness and openness to learn and grow.
- Possession of valid driver's license.
Preferred Skills:
- Bachelor's degree from an accredited college and/or university.
- Five (5) years relevant work experience.
- Excellent organizational, written and verbal communication skills; and the ability to work with considerable independence.
- Strong customer service skills.
- Exceptional interpersonal and written communication skills.
- Excellent customer services skills.
- Intermediate knowledge in MS Office Suite, survey applications, and web content management.
- Knowledge with Teams, Zoom, and other video conferencing platforms.
- Familiar with Banner Web and PeopleSoft
Knowledge, Skills, and Abilities:
- Knowledge of modern office practices and procedures.
- Knowledge of computers and job-related software including Microsoft Word, Excel, and Google Drive, Outlook, Microsoft PowerPoint and Adobe Acrobat.
- Ability to obtain a P-Card.
- Ability to maintain confidentiality of records and information.
Working Conditions:
This position is typically operating in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Requirements:
Ability to work in a sitting position for long periods of time. Must have ability to reach, bend, stoop, and occasionally lift to 40 pounds. The noise level in the work environment is usually low to moderate.
