Associate Director of Housing Business Operations
Job Summary:
The Associate Director of Housing Business Operations is a 12-month, full-time, professional staff position within Housing & Residential Life at Fort Valley State University.
Reporting to the Director of Housing & Residential Life, the Associate Director of Housing Business Operations provides comprehensive direction and vision to occupancy and data reporting for the Housing & Residential Life (HRL) department.
The Associate Director of Housing Business Operations is charged with coordinating all facets of occupancy management, including Banner, StarRez, data management, occupancy reporting, room/meal plan assignments, room holds, waitlist management, overflow housing, summer camps/programs, coordinating staff attendance at University enrollment sessions, and other related projects.
Occasional evening and weekend work is required.
Duties and Responsibilities:
- Coordinate with the Information Technology Department and outside vendors to implement and manage the departmental housing software program (StarRez).
- Coordinate all housing application and reservation processes, protocols, and timelines. This includes processes such as: entering student housing and meal plans in Banner and/or StarRez, special room/floor designations, the room holds, building availability, and student communication.
- Coordinate all occupancy reporting utilizing advanced Excel and StarRez tools. Reports examples include weekly/quarterly occupancy reports, student demographic reports, and application/reservation tracking.
- Create and provide training for the Administrative Assistant on StarRez and Banner.
- Coordinate summer camps and other summer programs housing assignments
- Assist with occupancy forecasting and projections.
- Analyze assignment efforts, waitlists, and residence configurations, and prepare analytical reports on reservations and occupancy for the department and Student Success management team.
- Assist with developing and implementing marketing strategies for University Housing
- Train Housing and Residential Life staff on the use of the StarRez system.
- Create a schedule for team members who will attend enrollment sessions to provide information related to University Housing. Information may also be needed in the form of a presentation.
- Attend enrollment sessions to recruit prospective students into University Housing
- Oversee room changes, meal plan changes, and room cancellations
- Enforcement of housing policies and enforcing the contractual agreement.
- Manage the occupancy verification process.
- Trouble-shoot student problems within the online housing selection program.
- Process all appropriate charges to student accounts including (but not limited to) room, term break, and damage charges.
- Process all room changes in collaboration with the Resident Directors. Processing includes the approval of room change requests, the notification to all affected professional staff, and any follow-up.
- Develop and present educational programs and/or workshops
- Provides administrative and procedural decisions and judgments on sensitive, confidential issues
- Supervise and train student employees, including organizing, prioritizing, and scheduling work assignments
- Collaborate and outreach to campus departments (i.e. Athletics, Admissions, General Counsel) to resolve issues.
- Organize, coordinate, and oversee multiple program activities
- Develop, plan, and implement short- and long-range occupancy goals
- Examine and re-engineer operations and procedures, formulate policy, and develop and implement new strategies and procedures
- Take ownership of, and quickly resolve complex job-related issues
- Other duties as assigned
Knowledge, Skills, and Abilities:
- Superb communication skills are mandatory (written, oral, in-person)
- Superb customer service and telephone etiquette are required
- Knowledge of student development and activity programs and activities at the university and college level
- Knowledge of general accounting principles
- Knowledge of crisis intervention techniques
- Skill in budget and management preparations

Qualifications:
Minimum:
- Bachelor's degree in a related area or equivalency (2 years of related work experience may be substituted for 1 year of education).
- College or university experience with students an asset
- Must be computer literate in Microsoft Office, Internet applications, Banner, and StarRez
- This position requires strong oral and written communication skills to allow the successful candidate to successfully approach people, mediate problem situations, and enforce policies
- Must have the ability to work independently or with minimum supervision.
Preferred:
- A Master's degree in Higher Education, Business Administration, and/or an approved combination of education and experience.
- A minimum of 2+ years of related and progressively more responsible or expansive work experience in Housing or Student Success.
- Previous experience with StarRez or any housing module is preferred
Working Conditions:
- Less than 5% travel required
- May require working beyond normal business hours as business needs dictate.
- Work is performed indoors in a climate-controlled environment.
