Job Summary

Performs varied and complex administrative duties in the management and coordination of a large, specialized project and/or program. Requires independent judgement and application of established policies and procedures. Works under general supervision with evaluation based on overall results obtained.


Major/Essential Functions


Provide ongoing vision, direction, leadership, and guidance as the Project Associate Director, in conjunction with the Executive Director to oversee the Fort Valley State University TRIO McNair Scholars project, a federal TRIO Grant Program Related duties include, but are not limited to:

  • Ensuring that all grant goals, objectives, and activities are met
  • Initiate and maintain regular communication among all personnel and grant stakeholders regarding policies and procedures, changes, or developments pertaining to the grant
  • Develop and oversee the student-centered, financial literacy, academic success programming, tutoring and engagement opportunities for participants
  • Individual and group advising and holistic development progress meetings
  • Plan and execute student cultural and graduate school trips and opportunities
  • Recruitment of program participants including marketing, information sessions, application submission process, application review, and notification of students selected as TRIO McNair Scholars participants as well as collaborate with university partners to advance grant goals and objectives
  • Maintain a working knowledge of Federal TRIO programs/grant policies, procedures, reporting and university policies, procedures and protocols regarding academic success, event coordination, student success metrics, student code of conduct, tutoring services, financial and other areas impacting grant objectives.
  • Create, administer, analyze and report programmatic data and assessments of grant objectives and outcomes to include but not limited to: ensure compliance with federal requirements and prepare monthly, quarterly, annual and ad hoc reports to the Department of Education, Fort Valley State University, the Executive Director, and the Vice President of Student Affairs and Enrollment Management; track undergraduate and post-baccalaureate retention and progression of TRIO McNair students as required by the Department of Education; track program participant retention, financial support, financial literacy, persistence, recruitment activities and yield, graduate school applications and admissions, along with other data needed to further support grant objectives and the University Strategic Plan.
  • Supervise student and professional staff who serve to advise and provide academic, personal, financial literacy, and tutoring for undergraduate students towards recruitment, potential and current participants in academic, financial, social/cultural efforts; provide tutoring; manage respective day to day operations associated with supervision and management of the entire team, including hiring and training.
  • Responsible for budget projection and oversight to include but not limited to: analyze, interpret, review of fiscal accounts and preparation of fiscal reports, ensuring accuracy and compliance with policy and guidelines at the federal and university levels under the requirements of federal grant and university regulations.
  • Demonstrated knowledge and skill administering; student development theory and practices, college/university student advising techniques; college/university level program development, implementation, and evaluation; developing and implementing student programming/activities in a higher education setting, including workshops, presentations, and events; leadership development and techniques.

Required Qualifications


Bachelor's degree in area of specialization or closely related field. Three years of related administrative and technical experience. Additional job-related education may be substituted for the required experience on a year-for-year basis.


Preferred Qualifications:

  • Master's or Doctoral degree preferred in education, counseling, public administration or related field from an accredited institution.
  • Minimum of three (3) years of direct experience in effective student "coaching" or advising specifically in the areas of assisting SSS-eligible students or similar populations (first-generation, low-income, students with disabilities, minoritized student populations) with goal setting, time management, self-advocacy, and study skills.
  • Minimum of three (3) years of experience related work experience in the areas of staff supervision, budget management, program development and evaluation, and reporting and compliance with federal regulations.
  • Minimum of three (3) years of experience with federal TRIO programs, academic support programs, or similar programs for disadvantaged and at-risk college students.
  • Experience in proposal and grant development including oversight and management of grants.
  • Excellent written communication and public speaking/presentation skills.
  • Success in overcoming barriers like those confronting the McNair Scholars participant population.
  • Demonstrated knowledge of student development theory and practices, college/university student organization advising techniques; college/university level program development, implementation and evaluation; developing and implementing student programming/activities in a higher education setting, including workshops, presentations, and events; leadership development techniques.
