Administrative Assistant - Office for Internationalization

Job Summary:

The Office for Internationalization, Global Education and Engagement at Fort Valley State University is seeking a highly organized candidate to serve as an Administrative Assistant. This individual will consistently be interacting with and assisting students, staff, faculty, and other stakeholders as well as visitors to the Office. He/she will collaborate with other offices on campus to provide excellent service to students and other professionals from on- and off-campus. This position is 100% funded for a minimum of a five-year grant period with a possibility of extending beyond, depending on grant funding.

Major Responsibilities and Duties:

•Providing a welcoming environment to the Office for Internationalization, Global Education and Engagement guests, especially students, staff, and faculty in a manner consistent with the university's mission and standard for "Excellence in Customer Service"

•Supporting the Director in preparing reports, budgets, special arrangements, and other activities

•Providing coverage for the front desk including answering phones and assisting stakeholders including, but not limited to students, staff, faculty, community members and those from various international communities

•Schedule appointments with the office staff appropriately and accurately

•Ensuring that the public spaces and conference room is organized with evidence of an inviting appearance

•Preparing for meetings and events within the office as requested by taking, organizing,and storing meeting minutes

•Reporting on the analytics related to the Office of internationalization, Global Education and Engagement including accurate visitor logs.

•Assisting with coordinating the work study students assigned to the Office

•Tracking the availability and need for general office supplies, including printer supplies,for the Office

•Supporting various events for the Office for Internationalization, Global Education and Engagement

•Providing service to the office with excellence and courteous, informed decisions, accessible, and professional engagement.

•Performing other duties as assigned

Required Qualifications:

•HS diploma required; Bachelor's degree preferred.

•Three to five years of related experience required.

•Applicant must be able to sit at a desk for several hours at a time, walk across campus to pick up and/or deliver materials, and lift to 25 lbs. with or without accommodations.

•Must be proficient in using Microsoft Word, Excel, PowerPoint, etc., software

Knowledge, Skills, and Abilities:

•Ability to work successfully in a multi-cultural and multi-lingual environment.

•Able to effectively handle confidential and proprietary information.

•Knowledge with budget preparation, management, and its presentation

•Communication - able to effectively communicate in a professional, diplomatic,empathetic, and tactful manner using preferred method and level as applicable to the job.

•Customer Service - ability to respond promptly and courteously to all questions from stakeholders

•Demonstrating patience and persistence when helping students with little or no computer skills.

•Independent work - able to work independently with limited supervision and able to self-motivate, leading to desired deliverables.

•Organization & Time Management - able to plan, schedule, and organize tasks related to the job to achieve goals within or ahead of established time frames.

•Systems & Software - proficient level of knowledge of Microsoft Office and/or relevant position software programs.

•Team Orientation & Interpersonal - initiative-taking collaborator approach with ability to develop and maintain collaborative relationships with all levels within and external to the organization.

•Ability and strong knowledge to develop a zero-based budget, manage it by tracking all the expenditures, and make budgeting predictions.
