FORT VALLEY STATE UNIVERSITY (FVSU), a state and land-grant institution of the University System of Georgia, invites applications for the position of Administrative Assistant for the Academic Affairs Office.
Fort Valley State University, the only 1890 land-grant university in Georgia, is a comprehensive institution that provides an education to over 2,800 students including graduate students. The university is located in the town of Fort Valley in Peach County, the original site of the state's peach industry. Its 1,365-acre (5.52 km2) campus is Georgia's second-largest public university in area.
JOB SUMMARY:
This position is responsible for providing administrative support for the operations of Academic Affairs in support of the following Academic Affairs Units: Office of the Provost and Vice President for Academic Affairs, the Office of the Vice Provost for Academic Affairs Director of Graduate Studies and the Office of Institutional Research, Institutional Planning and Institutional Effectiveness.
DUTIES/RESPONSIBILITIES:
- Provides general administrative and clerical support to the Academic Affairs units.
- Monitors and balances budgets.
- Prepares agendas, schedules meetings, manages spreadsheets, and information needed for meetings.
- Maintains office supply inventory; reorders as needed.
- Makes travel arrangements for Academic Affairs units.
- Plans and manages conferences and events in Academic Affairs units.
- Maintains office files and records.
- Drafts, edits, and proofreads messages and documents.
- Answers the telephone and greets visitors.
- Provides information and assistance, and refers concerns to appropriate personnel.
- Prepares reports, correspondence and other communications.
- Performs other related duties as assigned.
KNOWLEDGE/SKILLS AND ABILITIES:
- Knowledge of modem office equipment, practices and procedures including versatility in the use of software programs including the Microsoft Office Suite.
- Knowledge of video conference systems (e.g., Zoom or Teams) and the ability to facilitate virtual meetings.
- Knowledge of Academic Affairs policies and procedures.
- Knowledge of business English, spelling, punctuation and basic arithmetic.
- Skill in managing, prioritizing and organizing the work of the Office.
- Skill in the management of confidential files, digital information and records.
- Skill in the use of office equipment such as a computer, scanner, telephone, fax machine, and copier.
- Skill in oral and written communication.
MINIMUM QUALIFICATIONS:
- Associate's degree from an accredited institution.
- One or more years of related work experience.
PREFERRED QUALIFICATIONS:
- Bachelor's degree from an accredited institution.
- Three or more years of related work experience.
